Your charity account
You must have authority to act for the charity or community group you register. Each client account belongs to one charity, which can manage multiple sleighs. Keep account details accurate, protect your password and volunteer codes, and tell us if you suspect unauthorised access.
Prices and annual access
The planned price is £29 for the first sleigh in a selected calendar year. Each additional sleigh for the same charity and year receives a 20% discount and costs £23.20, before applicable tax. Adding a sleigh after paying for another in that year also qualifies for the additional-sleigh price.
The selected year, currency, discount and tax will be shown before payment. UK VAT applies where due; customers outside the UK are not charged UK VAT where the supply is outside its scope, although local taxes may apply. International currency prices will be confirmed at checkout.
Purchases are for a specific calendar year, with no automatic subscription or renewal. Sleigh and route records can remain in your account for future years. Public tracking access requires confirmed payment for the relevant year.
Payments, invoices and cancellations
When enabled, Stripe will process payments and paid invoices will be available from your account, including a PDF download. Failed or incomplete payments do not activate public tracking.
Our cancellation and refund policy is being finalised. It will be displayed before you can buy the service, along with any applicable cancellation rights and arrangements for starting service. Nothing in these terms removes statutory rights that apply to you.
Using the tracker responsibly
You are responsible for your collection’s safety, permissions, safeguarding and fundraising arrangements. Publish accurate information that you have permission to share. Do not post unlawful content, expose private information, misuse another charity’s account or interfere with the service.
Volunteers must understand when their phone’s location is being shared. The tracking app must be used safely and must not distract a driver. Donations go through the charity’s chosen provider; Track The Sleigh does not collect the charity’s donations.
Availability and location accuracy
Live tracking depends on the volunteer’s phone, permissions, GPS, battery and mobile connection. Positions and arrival times may be delayed or approximate. Families should follow the charity’s notices and organisers’ instructions.
The service is not an emergency, safety or navigation system. We will explain maintenance and material service changes where practical. The screenshot demo and illustrated website examples do not show a live collection.
Content and service changes
You retain responsibility for the content you provide and allow us to display it as needed to operate your charity page. We may restrict access to investigate misuse or protect the service. We will explain significant account restrictions where doing so is appropriate.
Changes to future prices do not rewrite earlier paid invoices. Material changes to these terms will be communicated before they apply to a new purchase.
Legal rights and disputes
These terms do not exclude liability or rights that cannot lawfully be excluded, including liability for fraud or death or personal injury caused by negligence. We will try to resolve concerns through Support first. The intended governing law is England and Wales, without removing mandatory protections or court rights that apply in your country.
